TL;DR: Trainual pulls everything living in your team’s heads into one searchable, assignable place. It is very good at that specific job. Reviewers rate it 4.7 on G2 and 4.8 on Capterra, mostly for ease of use and faster onboarding. The catch is the Trainual cost. The floor is $249 a month, billing is annual only, there is no free plan, and a $1,000 implementation fee lands in year one. It suits franchises, agencies and growing SMBs that hire the same roles repeatedly. A five person team that hires twice a year should look elsewhere. Sign up through Rewardio and you get 5% back every billing cycle, not just the first one.

Most companies do not have a training problem. They have a documentation problem that only surfaces when someone new starts.

Trainual exists to fix that. It has been around since 2018, and it reviews well almost everywhere you look. That is exactly why an honest Trainual review needs to cover the parts the marketing pages skip.

We have pulled together the documented feature set, current pricing, and what real users say across G2, Capterra, and Trustpilot. Some of it is very good. Some of it will make you wince, particularly if you run a small team.

What is Trainual?

Trainual is a cloud-based training, onboarding, and SOP platform for small and mid-sized businesses. Chris Ronzio and his brother Jonathan founded it in 2018. Chris had spent years running an operations consulting firm, writing the same procedures over and over for different clients.

The Trainual company sits in Scottsdale, Arizona. It has raised roughly $33.8 million, including a $27 million Series B, and serves around 8,000 customers with a team of about 126 people.

Here is how it works. You break company knowledge into Subjects, which are broad areas like “Customer Service”. Inside those sit Topics, the specific step-by-step guides. You then tie Subjects to roles using an org chart.

When a new marketing coordinator starts, Trainual assigns them everything that role needs. They work through it, take quizzes, and e-sign policies. You see exactly who has completed what.

That last part is what a Notion wiki cannot do. A wiki holds information. Trainual proves someone read it.

Key features worth knowing about

AI Assist. The built-in AI drafts SOPs, policies, and quiz questions from a prompt or your rough notes. It will not capture your workflows for you. What it does kill is the blank page problem, the main reason documentation never gets written.

Role-based assignment. Content follows the org chart. People see what their job requires and nothing else.

Screen recording and rich media. Record walkthroughs in the app, embed Loom videos, drop in GIFs and PDFs, or import from Google Docs. Video transcripts are searchable too.

Template library. Trainual ships with hundreds of prebuilt templates across HR, IT, sales, and operations. They speed up setup. You will still need to rewrite them for your business.

Accountability tooling. Quizzes with rotating questions, e-signatures, verification reminders, completion tracking, and automated nudges for overdue training.

The Trainual app. Native iOS and Android apps let staff read SOPs, query the AI assistant, and complete training from a phone. For field teams and multi-site operations, that matters more than it sounds.

Trainual pricing and what it really costs

Trainual Pricing

Trainual has drifted towards quote-driven pricing. The figures below come from Capterra and other third-party listings rather than a clean public price list. Verify before you sign.

PlanPriceIncluded seats
Core$249/month10
Pro$319/month10
Premium$399/month10
EnterpriseCustomCustom

Every plan bills annually. Extra seats run $3 to $5 each per month depending on tier. A one-time implementation fee of around $1,000 also applies. That covers a dedicated specialist, a four- to five-week rollout and some content migration help.

Run the maths for a 150-person business on Premium. You are past $13,000 in year one before add-ons. Our full Trainual pricing breakdown walks through each tier and where the extra costs hide.

There is no free plan. Trainual’s homepage advertises a 14-day free trial with no card required. Its own help documentation still refers to a 7-day trial. Check which one you actually get.

Three things Trainual genuinely does well

1. Non-technical people can build in it. This is the most consistent praise on every review platform. Office managers and owners with no L&D background build working training programmes in an afternoon. G2 scores it 9.2 for ease of use and 9.0 for ease of setup. A training tool nobody updates is worthless within six months, so this counts for a lot.

2. Onboarding actually gets faster. Trainual claims it halves onboarding time. That is the vendor’s own number, but the pattern shows up repeatedly in independent reviews. Managers stop answering the same five questions for every new starter.

3. Support is unusually good. G2 scores quality of support at 9.4. Reviewers mention dedicated success coaches and getting actual humans who know the product. For a tool that needs setup effort before it pays off, that is not a nice-to-have.

Where Trainual falls short

1. The price floor is brutal for small teams. $249 a month for 10 seats works out at roughly $25 per user. Capterra puts the average for HR tools nearer $14. Six employees still means paying for ten. Then add annual billing, the $1,000 implementation fee, and SSO gated behind the $399 Premium tier. Capterra reviewers rate value for money at 4.3 against a 4.8 overall score. That gap tells you something.

2. Search is a recurring complaint. Several reviewers report that Trainual struggles unless a document title is close to exact. One Trustpilot reviewer described staff failing to find topics they needed, while surfacing topics they had no access to. Past a few dozen Topics, this becomes daily friction.

3. It tells you who finished, not who understood. Trainual reports completions and quiz scores. It will not tell you whether anyone retained the material or changed how they work. There is no skills framework and no suggested next step. If you need to prove training ROI to a board, completion percentages will not carry you far.

Worth flagging too. Reviewers mention a clunky renewal process, limited layout customisation, and a UI redesign that some long-term users found more confusing than what it replaced.

What the review sites actually say

Trainual reviews skew strongly positive. The platforms differ in useful ways, though.

Trainual Reviews

G2 gives Trainual 4.7 out of 5 from more than 1000 reviews, with 85% rating it five stars. It passed 1,000 reviews in mid 2026 and collected 22 badges in the Summer 2026 report. Around 64% of reviewers are small businesses, which tells you where the product lands.

Trainual Review on G2

Capterra rates it 4.8 out of 5 from roughly 500 reviews. Sentiment breaks down as 488 positive, 12 neutral, and 3 negative. Read a few pages, and you will spot plenty of “incentivised” and “vendor referred” labels. Those reviews are verified and often thoughtful, but an incentivised sample naturally skews sunny.

Trustpilot is the interesting one. Trainual sits at roughly 4.1 there, but from only around 25 reviews. That sample proves nothing on its own. Read it anyway, because the critical reviews are blunter than anything on the software directories.

Trainual reviews on Trustpilot

The honest read across all three: daily users like it a lot. The complaints cluster around cost and search, not around whether the product works.

Who it is for, and who should skip it

Good fit. Franchises, multi-location operators, agencies and growing SMBs between roughly 15 and 250 employees. Anyone hiring the same roles repeatedly. Anyone whose founder is the bottleneck for every “how do we do this?” question.

Skip it if you have fewer than ten employees and hire rarely. The maths does not work. Skip it too if you want a client-facing LMS with certifications, or live task execution tracking rather than documentation.

If price is the sticking point, run the Whale vs Trainual comparison. Whale covers similar ground, offers a free plan for very small teams, and starts around $99 a month on paid tiers. It is stronger on AI-assisted creation and modern UX. Trainual wins on maturity, integrations, and the structured training path that franchises value. Waybook is another option at roughly $99 a month for 20 seats.

Getting started with Trainual

Setup is straightforward, but it rewards planning.

  1. Start the free trial and skip the demo if you would rather poke around first.
  2. Pick the three processes that eat the most management time. Not ten. Three.
  3. Draft each one with AI Assist, then rewrite it to match how your business really works.
  4. Build your org chart and assign those Subjects to roles.
  5. Invite one real employee, not a test account, and watch where they get stuck.
  6. Test the search. Type what a new hire would type, not what you titled the document.
  7. Check the Trainual app on a phone if anyone on your team works away from a desk.

Those last two steps matter most. Search and mobile draw the loudest complaints, and the trial is your only chance to test them before an annual contract locks you in.

How the Trainual cashback works

Trainual cashback on Rewardio

Rewardio earns a commission when someone signs up to Trainual through our link. We pass a share of that commission back to you as cashback. It costs you nothing extra.

The rate on Trainual is 5%, and here is the part that matters. It recurs. You get 5% back every billing cycle for as long as you stay subscribed, not just on your first payment. At Trainual’s price point, that adds up.

No code is needed. Activate the offer, and you get an effective 5% off, paid as real money into your Rewardio balance. Tracking usually confirms within 30 to 60 days, and there is no minimum withdrawal.

Frequently asked questions

What is Trainual?

Trainual is a training, onboarding and SOP platform for small and mid-sized businesses. It centralises processes, policies and role playbooks in one searchable place. It assigns the right content to the right people by role, then tracks who has completed and passed what.

Which type of company is Trainual best for?

Businesses with roughly 15 to 250 employees that onboard the same roles repeatedly. Franchises, agencies, multi-location operators, and home services companies get the most from it. Small teams that hire once or twice a year will struggle to justify the cost.

How does Trainual work?

You document processes as Subjects and Topics using AI Assist, templates, screen recordings, or imported files. You then map those Subjects to roles on an org chart. New hires automatically receive everything relevant to their position. They work through it, take quizzes and e-sign policies, while admins watch completion data in real time.

Is Trainual free?

No. Trainual has no free plan. It offers a free trial, currently advertised as 14 days with no card required, though its help documentation still mentions a 7-day version. After that, the cheapest plan starts at $249 a month, billed annually. If a permanently free option is essential, look at Whale instead.

Is Trainual legit?

Yes. Trainual is a venture-backed company founded in 2018, based in Scottsdale, Arizona. It has raised $33.8 million and serves around 8,000 customers. It holds 4.7 on G2 and 4.8 on Capterra. The criticisms concern price and search, not legitimacy.

The verdict

Trainual does one job properly. It gets what your team knows out of their heads and into something structured and trackable. Few tools do that better.

Price is the real decision point. At $249 a month minimum with annual billing and a $1,000 setup fee, this is a commitment rather than an experiment. Work out what inconsistent onboarding costs you now before you sign.
