About MailReach

MailReach is deliberately narrow.

It doesn't send cold email, find leads or manage your pipeline. Its job is simply to improve and measure email deliverability.

That focus matters because deliverability is one of those things that all-in-one outreach platforms often include as a checkbox feature. If most of your sales pipeline depends on cold email, you may want something more specialised.

MailReach warms sending accounts by connecting them to a network of more than 30,000 real inboxes, mainly across Google Workspace and Microsoft 365. It gradually sends and receives messages, generates replies, opens emails and creates the sort of engagement signals mailbox providers expect from normal accounts.

The quality of those interactions is important. Cheap warm-up networks can become very repetitive, which makes them easier for filters to identify. MailReach puts more effort into varied subject lines and ongoing conversations rather than sending the same style of message over and over.

The other half of the product is spam testing.

MailReach sends a test message to a seed list across major providers and shows exactly where it lands. You can see whether Gmail puts you in Primary or Promotions, whether Outlook accepts you into the inbox or dumps you into junk, and how placement differs between providers.

That is often more useful than a generic warm-up score because it measures the thing you actually care about.

There are also checks for SPF, DKIM, DMARC, blocklists and other domain issues, alongside alerts, an email verifier and a content Co-pilot.

What we like

  • MailReach takes warm-up quality seriously, using a large network of real Google Workspace and Microsoft 365 inboxes rather than relying on obviously repetitive traffic.
  • Inbox placement testing shows where your emails actually land, which is far more useful than simply being told your sender reputation looks healthy.
  • Support has an excellent reputation and is regularly described as knowledgeable about deliverability rather than just the software itself.

Where it falls short

  • Pricing gets expensive quickly because every mailbox adds to the monthly bill.
  • Spam testing costs extra and there's no free warm-up trial before you commit.
  • Larger setups can make the interface feel slower, and warm-up scheduling has less flexibility than some advanced users would like.
Our Verdict

MailReach is a specialist tool, and that's both its strength and the reason it costs more than the warm-up feature bundled into a larger outreach platform. It doesn't send campaigns or find leads. It focuses on whether the emails you've already decided to send actually reach an inbox. The warm-up network is strong, but the placement testing is probably the more important feature. Knowing that Gmail is suddenly pushing a sender into Promotions or Outlook is dropping you into junk is much more useful than watching a reassuring health score. The main question is whether that information is worth the per-mailbox cost. If cold email is an important sales channel, probably yes. If it isn't, MailReach can feel expensive for what is ultimately a supporting tool. Rewardio's 10% recurring lifetime cashback helps most on larger setups, where even a modest percentage starts becoming a meaningful monthly amount.

Frequently Asked Questions

Answering the questions we actually get about MailReach.

How does MailReach cashback work, and is it better than a MailReach promo code?
MailReach does run occasional promotions, but they're normally short-term offers rather than a permanent MailReach promo code. You might, for example, see a discount on the first month of the first mailbox you connect. Rewardio cashback works differently. Start your purchase through Rewardio and you'll receive 10% of eligible MailReach subscription payments back as real money for as long as you remain subscribed. Because MailReach charges by mailbox, the cashback grows with your account count. It can also work alongside standard annual pricing because the cashback is calculated from what you actually pay.
How much does MailReach cost in 2026?
MailReach pricing is based on the number of mailboxes you connect. Smaller setups start at roughly $25 per mailbox per month. That falls to around $19.50 each for six to twenty mailboxes, roughly $18 for larger groups and around $16 once you're above fifty. Annual billing reduces the price by around 20%. Spam testing credits are separate. A small monthly pack costs around $10, with additional credits available if you need more. So ten warmed mailboxes can cost close to $200 a month before accounting for the cost of the inboxes themselves.
Is MailReach worth the money?
That depends almost entirely on how important cold email is to your business. If you're sending a handful of emails from an established company address, MailReach is probably excessive. If your sales team or agency depends on outbound campaigns reaching the inbox, deliverability becomes much more valuable. MailReach is expensive compared with simpler warm-up tools, but the network quality and placement testing are stronger than what you get from many cheaper alternatives. The cost is easiest to justify when one recovered campaign can generate more revenue than several months of subscription fees.
What is email warm-up and do I actually need it?
Email warm-up gradually builds reputation on a new or damaged sending account. Instead of immediately sending large volumes of cold email, the account starts with normal-looking conversations, opens and replies, then increases activity over time. That gives mailbox providers some history before you start sending real campaigns. It's most useful for new domains, new inboxes, accounts with damaged reputation and cold outreach setups. MailReach recommends an initial warm-up period before running campaigns and keeping some warm-up activity running afterwards. For a long-established inbox used mostly for normal customer email, it may not be necessary.
How is MailReach different from the warm-up built into Instantly or Smartlead?
Instantly and Smartlead include warm-up as part of much larger cold email platforms. MailReach focuses almost entirely on deliverability. That means more attention goes into the warm-up network, the quality of the conversations and actual inbox placement testing. The network is heavily weighted toward real Google Workspace and Microsoft 365 accounts, and MailReach tries to avoid the repetitive patterns common in cheaper warm-up systems. The bigger difference is the testing. MailReach shows where your messages actually land across different providers rather than relying only on an internal reputation score.
Can MailReach fix an account that's already landing in spam?
Sometimes. If the problem is mainly poor sender reputation, gradual warm-up and better engagement signals can help recover the account. MailReach reports successful recoveries from severely damaged inbox placement, but there's no guarantee. Warm-up also won't fix every problem. If your authentication is broken, your domain is blocklisted, your content looks spammy or your sending behaviour is poor, those issues need to be fixed separately. That's why the domain checks and spam testing are useful alongside the warm-up itself.
What is spam testing and why does it matter more than warm-up scores?
Spam testing measures where a real message actually lands. MailReach sends your test email to a group of seed accounts across providers such as Gmail, Outlook and Yahoo, then reports whether it reached the main inbox, Promotions or spam. That gives you a much clearer picture than a generic warm-up score. You can have a dashboard telling you an inbox is healthy while real campaigns are still being filtered. Placement testing catches that gap. For anyone running meaningful outbound volume, we'd put more weight on actual inbox placement than on a warm-up percentage.
What are the real downsides of MailReach?
Cost is the obvious one. Pricing per mailbox becomes expensive quickly once you're managing a large sending fleet, and spam testing credits cost extra. There's also no free warm-up trial, so you have to pay before properly testing that part of the product. Some users also report that the interface becomes slower when managing a lot of inboxes, and the warm-up scheduling isn't as configurable as some competitors. Finally, MailReach doesn't provide mailboxes or sending infrastructure. It improves accounts you've already bought elsewhere.
Who is MailReach best for?
Sales teams, lead-generation agencies, recruiters, founders and deliverability consultants who rely heavily on cold email. It makes most sense when you're running several sending accounts and need both reputation management and hard data on where messages are landing. It's much harder to justify for occasional email senders or businesses mainly contacting existing customers from mature domains. At very large scale, the per-mailbox pricing can also become expensive enough that specialist alternatives deserve a serious comparison.
When does my Rewardio cashback appear, and when can I withdraw it?
MailReach cashback should normally appear in your Rewardio account within around 24 hours of an eligible purchase. It becomes available to withdraw after MailReach confirms the payment and the standard cashback hold has passed, usually around 30 to 60 days. Cashback is paid as real money and continues on eligible subscription payments for as long as your MailReach account remains active. Because pricing scales with the number of mailboxes, your cashback can increase as your setup grows.
